Overview:

Reporting to the Chief Development Officer, the Foundation Relations Manager is responsible to advancing the mission of OC CAPC, which is to directly serve at-risk children families and adults in crisis and ultimately to prevent and end the generational cycle of abuse. 

The Foundation Relations Manager is responsible for identifying, cultivating, soliciting and stewarding grants from foundations and corporations to sustain the operational growth of the organization.  

Duties and Responsibilities:

  • Build and maintain the pipeline of current grant documentation, filing system inclusive of all grant submitting, enclosures as well as:
  • Master Grant Narrative– housing all of the organizational and programmatic information necessary for grant writing. This should cover 60-70% of most grants, with the exception of custom information that varies from application to application.  
  • Financials– current 990’s, audited financials, and Program budgets 
  • Tax Exempt Documentation– current 501(c)(3) tax determination letter Articles of Incorporation, Board of Directors Roster. 
  • Other:may include brochures and marketing materials, videos, Conflict of Interest policy, Non-discrimination policy, Board Commitment forms, etc.  
  • Pursue the following types of grants:
  • Short format letter proposals and concept letters for grants between $1,000 and $10,000 – including online applications.
  • Online applications from $10,000 to $50,000
  • Large comprehensive grant submittals that ranged from $50,000 to $500,000. The breadth of the organization’s program offering required that the grant staff had 6-7 grant applications in process at any given time (including multi-year grant applications). 
  • Understand the lifecycle of a grant in all its stages:
  • Foundation research, onsite visits/tours, program team collaboration, project and budget development, LOI and application construction, disbursement, contract negotiation, and intermittent as well as end of cycle reporting.
  • Keep a detailed calendar of Grant Reporting due dates.
  • For government or large scale grantors, include the following milestones in the lifecycle described above:
  • Host audit teams and facilitate the coordination of program staff to address technical questions, program reviews, project outcomes, and analysis of project data for monitoring and evaluation.
  • Documentation and data monitoring for follow up reporting.

Position Qualifications:

Hard Skills:

  • Present requests to foundations utilizing both oral and written communication skills. 
  • Establish relationships with the foundations – emphasizing the commonality between the funder’s criteria and the organization’s programs through an individual person-to-person connection.  A common misconception is that grant writing is a rote exercise in writing. However, grant writing starts as a trust-building exercise on a very human scale. To that end, a grant writer must work to provide several non-ask contacts with foundations before presenting an ask. The candidate needs to be familiar with common grant research tools such as Foundation Centerand Foundation SearchIlluminate, Public Funding Resources opportunities.  
  • Managing schedules to know when to pursue which foundations with lead time for research and preparation, managing submittal timelines and the grant calendar, site visit schedules, and the hosting of grant team meetings to keep updated on deadline progression. 
  • Be familiar with Salesforceor a Donor Management system for the tracking and reporting. 
  • Understand the catalog of grant-related language: outcomes (qualitative and quantitative) vs. outputs, logic models, workflow diagrams, goals, objectives, best practices vs. research-tested models, and evaluation methodologies. 

Soft Skills: 

  • Consensus-building: Interface and build consensus successfully with a large and diverse project team, including the CEO (strategy), the CFO (budget), the Chief Program Officer (program focus and target population plan), program staff (for stories details) and funders. 
  • Vision alignment between the organizations needs and the giving criteria/funding focus of the organization's foundation partners. 
  • Collaborate with the mid-level managers and program supervisors to detail the program details, goals, objectives, and outcomes.
  • Work with the data analyst to extract the outcomes and outputs needed for reporting to the foundations, corporations and major donors. 
  • Ability to learn and comprehend programs to create great narratives of needs that are required to cover unbillable needs of contracts.
