Development Associate (Special Events)
Position Description
Department: Development
Reports To: Senior Development Manager
Status: Full-Time, Non-Exempt/Hourly, Pay Range $21.16 – $23.08/Hour, Depending on Experience
(Approximately $44,000 - $48,000/year)

POSITION PURPOSE: The Development Associate is primarily responsible for revenue generation of $1M+ through special events, in addition to supporting the overall Development Department’s financial goals. This is achieved through the essential job functions as outlined below in addition to managing three of the food bank signature events – “No Lunch” Lunch and Serving Hope Breakfast and Associates Board Golf Tournament. This position will also heavily support Harvesters Fashion Show & Luncheon.

• Execute planning and logistical aspects of identified signature events, special events and campaigns, including but not limited to:
o Assist in developing, sending and securing event sponsorship packages and follow up on all requests made. Make cold calls and set meetings to secure funding in alignment with KPI and matrix goals. Coordinate fulfillment of sponsor benefits
o Budgeting and forecasting revenue for special events
o Procuring reports for mailings and metrics tracking, planning and logistical aspects of special events
o Generating special acknowledgement letters in a timely manner; as needed database updates (including documenting donor notes and touch points)
o Coordinate invitation mailings and e-blasts strategically to encourage event participation

Create event-related signage, informational and promotional flyers, and social media content using Microsoft Publisher or Adobe Illustrator
o Assist in auction item solicitation, tracking, storage, and presentation
o Develop event registration forms and coordinate RSVP lists
o Track payment status of sponsors and guests
o Prepare and organize miscellaneous electronic files
o Manage the implementation of event stewardship plan in coordination with team members
o Create and manage event and project timelines
o Manage recruitment and training of volunteers, staff, and vendors leading up to and during events
o Work in partnership with Development Management with other donor related activities, events, and communications as needed
o Work with Marketing Department to ensure all promotional materials for events are developed and publicized on time
• Work in partnership with team to secure and support revenue of $1.2 million through our Signature Events which include: (1) Serving Hope Fundraising Breakfast, (2) Associates Board Event (3) Harvesters Fashion Show and Luncheon, (4) “No Lunch” Lunch
• Harvesting Hope Tours Includes:
o Responsible for securing and leading Harvesting Hope Tours, and serving as point person for set-up, facilitation and breakdown. Total of 89 for FY19
• Adopt A Pantry Includes:
o Lead #2 Adopt A Pantry – facilitates 11 of 31 for FY19. Manage the donors’ needs in collaboration with Partner Development & Support
• Development Administrative Duties Includes:
o Maintain a sponsorship portfolio of select donors to cultivate and steward
o Support portfolio management of Development team
o Manage and oversee the cultivation of event donors through personal thanking of all event donors in coordination with Senior Development Manager by giving a personal phone call, email, or note, offering a tour and/or a first-time donor packet
o Organize and manage master files
o Oversee and engage with volunteers
o Update and maintain Donor Fulfillment Levels Wall/Donor in regards to event recognition plan

• Education
o Bachelor’s Degree preferred or equivalent job experience
• Experience
o 4+ Years of fundraising event experience
o Working knowledge of Microsoft Office and database knowledge preferable; knowledge of donor CRM software desirable (eTapestry, Raiser’s Edge, DonorPerfect, Donor Quest, Salesforce, etc.)
o Self-motivated with the ability to work independently and move projects forward with minimal supervision
o Ability to handle sensitive and confidential information appropriately and with discretion
o Excellent written and verbal communication skills with and ability to develop ideas into a working plan
o Ability to produce a quality product in a fast-paced and deadline-oriented environment
o Proven analytical and creative problem-solving abilities, along with the skills to manage information and data from various sources
o Dedication to promoting the organization’s fundraising priorities by developing excellent relationships with donors, key volunteers, Board Members and the organization’s leadership team
o Strong project management skills with the ability to work under pressure, balance competing priorities and consistently meet deadlines
o Ability to make frequent changes of routine and pace of activity due to unpredictable demands without loss of efficiency or composure
o Hardworking and goal-oriented
o Take direction and constructive criticism well
o Flexibility to work weekends and evenings as needed for events
